Administrative Assistant/Word Processor

  Reports To:  Administrative Office Manager
  Available:    Immediately
  Description
Are you the type of person who takes ownership, is proactive, is responsible, and can work well independently and with others? If so, this is the job for you! Our Santa Clara office has an immediate word-processing position available. We are looking for a high energy, self motivated individual.

The ideal candidate must be flexible, have excellent organizational skills, be a team player, dependable, work well under short deadlines and high-pressure situations, and possess the ability to multi-task.

  Responsibilities
  • The position requires heavy word processing and organizational skills.
  • You will be maintaining and updating templates on our server, do include Contracts, Listings, Letters, Lease Proposals, Presentations, Resumes, Forms, and other agent templates. In addition, you will copy and keep inventory for staff and agents use.
  • Prepare, collage, and post a variety of mailers as needed.
  • Electronic Mail (email) - Send and receive enclosures to and from agents, staff, and clients.
  • Assist agents with miscellaneous copying and binding projects.
  • Copy and file all correspondence and proposals that have been finalized. Maintain agent correspondence files. Archive to long term storage as necessary.
  • Provide back-up/overflow assistance to Receptionist

  Skills
  • Prefer experience in MS Office: Word, Excel, Outlook & PowerPoint
  • Candidates should have strong multi-tasking ability and good attention to detail.
  • Excellent telephone answering & front desk etiquette
  • 2+ years of Word Processing experience with a minimum typing speed of 65 wpm
  • Ability to operate and maintain basic office equipment: fax, printers, copier, etc.
  • Ability to work with demanding personalities
  • Dictaphone experience required Ability to prioritize and communicate prioritization
  • Knowledge of proper grammar and spelling
  • Previous administrative experience in real estate or law preferred, but not necessary
